Drift & Flow respects your privacy and is committed to protecting your personal information in accordance with the Privacy Act 1988 and the Australian Privacy Principles.

What We Collect

We may collect personal information including your name, email address, phone number, payment-related information, photographs, videos, voice recordings, written memories, family stories and other content provided for the creation of a tribute.

We may collect information through our website forms, onboarding forms, email communication, file upload links, payment providers and direct communication with you.

How We Use Your Information

We use your information to create and deliver your tribute, communicate with you, manage payments, provide customer support, improve our services and meet any legal or administrative requirements.

We will never sell or rent your personal information.

Sensitive Family Content

Due to the nature of our services, you may provide sensitive family stories, photographs, voice recordings or information about loved ones. This content is treated with care and respect and is used only for the purpose of creating and delivering your tribute.

We will not use your photographs, videos, voice recordings, stories or completed tribute for marketing, portfolio or promotional purposes without your written permission.

Much of the information shared with Drift & Flow relates to a person who has died. While Australian privacy law generally relates to personal information about living individuals, we treat photographs, recordings, stories and other information about a deceased person with the same care, respect and confidentiality described in this policy.

Storage & Security

We take reasonable steps to protect your personal information and tribute content from misuse, interference, loss, unauthorised access, modification or disclosure.

If a data breach occurs, Drift & Flow will assess the breach and take appropriate action in accordance with applicable privacy laws, including any notification requirements under the Notifiable Data Breaches scheme.

Some personal information, including contact, transaction and business records, may need to be retained for longer where required for accounting, tax, legal or administrative purposes. Where information is no longer required, we will take reasonable steps to delete or securely dispose of it.

Tribute project files, including uploaded materials and the completed tribute, may be retained for up to 60 calendar days after final delivery. This aligns with the client portal access period set out in our Terms & Conditions. After this period, files may be permanently deleted or made inaccessible. Clients are responsible for downloading and securely storing their final files, as Drift & Flow does not provide long-term file storage.

Third-Party Services

We may use trusted third-party services to operate our website, manage enquiries, process payments, store files, communicate with clients and create or deliver tribute files.

These providers may store or process information in accordance with their own privacy policies. Some providers may store information outside Australia.

Data Retention

We may retain your files and project information for a limited period after delivery for backup, revision, administrative and record-keeping purposes.

We do not guarantee long-term storage of final tribute files. Clients are responsible for downloading and safely storing their own final files.

Access, Correction & Deletion

You may request access to, or correction of, personal information we hold about you by contacting us.

You may also ask us to delete personal information or tribute materials we hold about you or your family. We will consider deletion requests promptly, subject to any information we are required or permitted to retain for legal, accounting, tax or other legitimate business purposes.
