Client Agreement

A Gentle Agreement Before We Begin

Thank you for trusting Drift & Flow with something so meaningful.

Before we begin, this agreement simply outlines how we’ll work together so everything feels clear, calm, and supported throughout the process.

1. Your Tribute

Drift & Flow will create a custom memorial tribute using the photos, videos, text, and music you provide.

Each tribute is thoughtfully crafted to honour your loved one with care and respect.

2. What We’ll Need From You

To create your tribute, we rely on the materials you provide.

You agree to:

  • Provide photos, videos, and text in a timely manner

  • Ensure names, dates, and details are accurate

  • You confirm that you have permission to provide all photographs, videos, recordings, music and other content supplied for your tribute

  • You are responsible for ensuring any family members or relevant parties have agreed to the content being included where appropriate

We recommend reviewing everything before sending, as we work from what you share.

Acting on your instructions
Drift & Flow will act on the instructions of the person who enters into this agreement with us. You are responsible for ensuring that relevant family members or other parties have agreed to the content provided where appropriate. Drift & Flow is not responsible for resolving disagreements between family members or other parties about the content of the tribute.

3. Timeframes

We understand that memorials are often time-sensitive.

Your delivery timeframe is based on:

  • when materials are received

  • how quickly feedback is provided

We will always do our best to meet agreed timelines.

If delays occur due to late materials or responses, delivery may be affected.

If we do not receive your approval or requested feedback within the timeframe advised, we cannot guarantee final delivery before the service date. Where you have already approved a version of the tribute, we may provide that approved version as the final tribute if there is insufficient time to complete further requested changes.

4. Priority Delivery

Priority Delivery may be available for urgent requests. Availability is assessed on a case-by-case basis and cannot be guaranteed.

5. Revisions

Soft Drift includes one (1) minor revision round, Reflections includes two (2) minor revision rounds, and Evermore includes three (3) minor revision rounds.

Minor revisions include:

  • correcting text

  • swapping photos

  • small timing adjustments

  • A revision round consists of one consolidated list of requested changes submitted at the same time.

If further changes are needed beyond this, we will let you know before proceeding.

6. Review & Approval

Before final delivery, you will have the opportunity to review your tribute.

At this stage, we ask that you carefully check:

  • spelling of names

  • dates

  • photo order

Once final approval has been provided, Drift & Flow is not responsible for errors that were present in the approved version. Upon final approval is received from the client the tribute is considered final.

Requests involving significant changes to the structure or content of the tribute, including the addition of substantial numbers of photographs, major music changes or large-scale re-editing, may incur additional charges. Any such charges will be discussed and approved before work proceeds.

7. Fees & Payment

Full payment is required before work commences.

Production time is reserved once payment has been received.

All pricing is in Australian Dollars (AUD).

8. Cancellations, Rescheduling & Refunds

We understand that circumstances can change unexpectedly and that funeral or memorial service dates may sometimes change.

Rescheduling a service date is not automatically treated as a cancellation. Please let us know as soon as possible if your service date changes so we can review the new timeframe and our availability.

Cancellations and refunds are assessed in accordance with our Payments, Refunds & Cancellation Policy.

Nothing in this agreement limits your rights under the Australian Consumer Law.

9. Music & Copyright

If you request specific music:

  • You confirm you have the right to use it

  • Drift & Flow does not provide licensed commercial music

We are not responsible for copyright issues relating to music choices.

10. Final Files & Playback

Your tribute will be delivered digitally.

You are responsible for:

  • downloading your file

  • ensuring it plays correctly on your chosen device or at the venue

We recommend testing your tribute before the service where possible.

If a final tribute file is faulty or corrupted due to an error by Drift & Flow, please contact us as soon as possible and we will provide a corrected file at no additional cost.

11. Storage

We may retain project files for up to 60 calendar days after final delivery.

We recommend downloading and securely saving your final files well before this period ends, as Drift & Flow does not provide long-term storage.

12. Our Commitment to You

We will:

  • Handle your memories with care and respect

  • Communicate clearly throughout the process

  • Do our best to create something meaningful and fitting

13. Privacy Assurance

We will not share, publish or use your photographs, stories, recordings or completed tribute for marketing purposes without your written permission.

14. Your Rights

Nothing in this agreement limits, excludes or modifies any rights you may have under Australian Consumer Law or any other applicable law.

15. Agreement

By proceeding with Drift & Flow, you acknowledge and agree to the above.
